Vendor Credentialing & Vetting Process
Why TriStar Screens and Credentials Every Vendor
At TriStar Services, we take your safety, security, and satisfaction seriously. That’s why every subcontractor (vendor) working on behalf of TriStar must pass our rigorous credentialing process before they’re approved to represent our name. Whether someone is cleaning your home, delivering a dumpster, or providing on-site maintenance, we ensure they meet high standards of professionalism, reliability, and trustworthiness.
Once approved, each vendor receives a physical TriStar Verified Badge, which must be worn onsite at all times. This ensures you know exactly who is entering your home or business — and that they’ve been thoroughly vetted by our team.
TriStar’s credentialing process is the foundation of our promise to deliver safe, reliable, and high-quality service to every client. We don’t just contract vendors — we carefully select, evaluate, and train trusted professionals who operate under our name. Each subcontractor, whether a solo professional or part of a larger business, must complete a comprehensive and structured review that prioritizes legal compliance, service quality, and customer safety.
Our vetting process includes multiple checkpoints designed to assess identity authenticity, background history, licensing, insurance coverage, behavior standards, equipment condition, and operational readiness. We collect documentation, cross-verify records, and even conduct live orientation sessions to align each vendor with TriStar’s brand and expectations.
Every individual who enters or services a client property must pass a clean background check, comply with our code of conduct, and visibly wear the TriStar Verified Badge. This badge is more than identification — it’s our guarantee that the person at your door has been vetted, cleared, and trained to serve with integrity.
Here’s how we do it:
Every vendor begins by submitting a secure online application, which collects key information like legal name, business structure, services offered, and areas served. We welcome both registered businesses and professional sole proprietors — all are held to the same standard. If any required items are missing, we notify the applicant and pause review until it’s complete.
We verify each vendor’s legal operation. For formal businesses, this includes state registration and EIN documentation. For individual professionals or sole proprietors, we require a valid government-issued photo ID and a description of how they operate. This ensures every provider is legitimate and accountable.
Some services — such as electrical, HVAC, or plumbing — require a state license. When applicable, we confirm that the license is active, issued in the correct state, and matches the vendor’s name or business.
All vendors must provide valid General Liability Insurance with at least $1 million in coverage. If the vendor transports equipment or materials, we require Auto Liability Insurance. If they employ other workers, Worker’s Compensation coverage is also required. We contact insurers directly to confirm each policy is real and active.
Every individual who will step onto your property must pass a clean national background check. This includes:
Criminal history
Sex offender registry status
Financial fraud and theft convictions
We also verify a valid government-issued photo ID for each person. If the vendor is a solo provider, one ID satisfies both identity and background check.
Important: Any convictions — felony or misdemeanor — related to theft, violence, fraud, or sex offenses result in automatic disqualification. We also reserve the right to disqualify individuals with any other offense that poses a potential risk to client safety, privacy, or property.
All approved vendors must read and agree to the TriStar Vendor Code of Conduct. This agreement outlines expectations around professional behavior, appearance, respect for client property, and our zero-tolerance policy for harassment or discrimination.
Vendors confirm they have the appropriate, functional tools and resources to do the job right. Depending on the type of service, we also request:
Descriptions or SOPs outlining cleaning or sanitation procedures
Safety protocols
How they communicate with clients on-site
This allows us to verify that vendors are not only ready but committed to quality, consistency, and customer care.
Once a vendor clears all credentialing steps, they are issued a TriStar Verified Badge with their photo, name, and unique ID number. This badge must be worn at every TriStar job and shows that the individual has been vetted and cleared. We also add them to our dispatch, scheduling, and service coordination system.
At TriStar, our commitment to clients goes beyond providing quality services — it’s about building trust, ensuring safety, and delivering peace of mind every step of the way. We believe that every individual entering your home, business, or job site should be someone you can count on. That’s why we’ve built one of the most thorough vendor credentialing programs in the industry.
Each TriStar Verified professional has passed a detailed multi-point review process that includes identity verification, a clean background check, insurance validation, license confirmation (when applicable), equipment inspection, and live orientation training. We ensure every person not only meets technical standards but also upholds professional conduct, respects client privacy, and demonstrates an ongoing commitment to excellence.
Every vendor wears their TriStar Verified Badge with pride — a badge that reflects their integrity, preparation, and alignment with TriStar’s core values. It’s more than just a credential; it’s a visible assurance to you and your family or team that the person at your door has been fully vetted, approved, and held to the highest standard.
This is our promise to you: that every TriStar-approved service professional is someone we would trust at our own home — because you deserve nothing less.
Become a Verified TriStar Vendor
Begin by completing the Vendor Credentialing Request Form on this page.
This short form collects basic information such as:
Your name and contact information
Business type (sole proprietor, LLC, corporation, etc.)
The services you offer
Your service areas (cities or counties you cover)
Whether you operate solo or with a team
This initial request helps us determine whether your services align with TriStar’s current needs and standards before moving forward.
If your request is a potential match, our credentialing team will reach out within 2–3 business days to schedule a 15–20 minute phone or Zoom call.
The purpose of this call is:
To introduce TriStar’s mission, expectations, and client service model
To learn more about your experience, operations, and service quality
To answer questions you may have about working with TriStar
To assess mutual interest and overall fit
This is a two-way conversation designed to ensure we’re a good match for each other.
If we mutually agree to move forward, you’ll be given access to the TriStar Vendor Credentialing Application.
This full application includes:
Legal and business verification
Insurance uploads
Service category selection
Background check consent
Operational readiness confirmation
Agreement to our Code of Conduct
You will also be asked to upload any applicable licenses (e.g., general contractor’s license) and confirm your readiness to perform the services you’ve selected.
At the time of submission, a non-refundable $99 credentialing fee is required.
This fee covers:
A comprehensive national background check for one on-site worker
Document and license verification
Credential review by our compliance team
Access to live onboarding and training resources
Creation and shipment of your official TriStar Verified Badge (includes photo, ID number, and QR code for real-time verification)
Note: This fee covers the background check and badge for one individual (typically the sole proprietor or lead technician).
If additional workers will be on-site under your business, each will require a separate national background screening and will incur an additional processing fee to cover credential verification and badge issuance.
You will not be charged during the initial request or phone screen. The fee is only due when submitting the full credentialing application.
Once your application and fee are submitted:
Our team will verify all submitted documents (ID, insurance, licenses, etc.)
Background checks will be processed for each individual who will be onsite
Any inconsistencies, expired documentation, or disqualifying records will be flagged
You may be contacted for clarifications or updates if needed
We aim to complete this review within 3–5 business days.
Important:
Any convictions — including misdemeanors or felonies — related to theft, violence, fraud, or sex offenses will result in automatic disqualification from the TriStar Vendor Network.
Additionally, TriStar reserves the right to disqualify any applicant whose criminal history, regardless of classification, suggests potential risk to client safety, privacy, or property, at TriStar’s sole discretion.
Approved vendors will be invited to a live onboarding session via Zoom or phone (20–30 minutes).
The session will cover:
TriStar’s brand standards and expectations
Service dispatch and communication procedures
Reporting issues or client concerns
Wearing and maintaining your TriStar Verified Badge
Scheduling policies, cancellations, and payment expectations
This ensures you're fully prepared to operate as a trusted TriStar representative.
After completing orientation:
You’ll be activated in our vendor system and ready to receive service dispatches
Your TriStar Verified Badge will be mailed to your address
This badge must be visibly worn at all times on client properties
The badge includes:
Your photo and name
Unique TriStar ID number
A QR code clients can scan to validate your identity and credentials in real-time
This badge serves as a visual guarantee to our clients that you’ve passed TriStar’s strict standards for safety, professionalism, and service.
